Apploye Explained: What the Time Tracker Records and What Your Manager Sees (2026)

Table of contents

Apploye is a time tracker that many employers and agencies use for remote staff. If yours has asked you to install it, the useful questions are plain ones. What does it record, what number does your manager see, and what is it unable to see? This page answers them using Apploye's own help center, FAQ and pricing page. Where something depends on your employer's settings or plan, we say so.

The short version

Your manager can see, depending on setup: the hours you tracked against projects and tasks, an activity percentage for each 10-minute block, screenshots, the apps and websites you used, and idle time. Apploye's help center says it does not record what you type, your webcam or microphone, or the content of emails, chats and documents.

Which of those items is switched on is decided by your organisation, and partly by the plan it pays for.

Does Apploye track me all day?

No. According to the help center, tracking only runs when you start the timer in the desktop app. When the timer is stopped or paused, no activity, screenshots, or app and website data is recorded. You also cannot start the timer without being assigned to a project.

Your employer invites you by email or a joining link, and you install the app from Apploye's website. You shouldn't need to create an account on your own.

What does the activity level mean?

Apploye shows activity as a percentage between 0 and 100 for each 10-minute block, based on mouse and keyboard use. Its help center puts it this way: it measures how much you use your mouse and keyboard, not what you type or click.

Apploye does not publish a detailed formula on the pages we reviewed, so we won't guess at one. What the description does tell you is that the number reflects input. It is not a measure of quality, output or effort. Reading, a call, whiteboarding, or thinking through a problem all produce little input.

How do Apploye screenshots work?

If screenshots are enabled, Apploye captures your screen at random intervals while you are tracking, and each capture includes all connected monitors. Apploye's screenshot page says it is designed to take up to three screenshots per 10-minute window, and that admins can adjust the frequency. Its help center describes blur and frequency as organisation settings.

Plan matters here. The pricing page, at the time of writing, lists the free Starter plan with a cap on screenshots (6 per person per day or 200 per organisation per day) and the Elite plan at up to 18 per hour. The Power plan lists up to 60 per hour, plus live screenshots on demand. Screen video recording is listed as a separate paid add-on. So a free-plan account and a Power-plan account can look quite different.

Screenshots are visible to you as well. Apploye's screenshot overview says owners, admins and team managers can review employee screenshots, and that employees can view only their own.

On deletion, the getting-started guide says employees can delete screenshots by default, and that admins can disable that option. Whether you have that control is therefore an employer setting.

What apps and websites does it log?

When enabled, Apploye records the names of desktop apps, website URLs, and how long each was active on screen. The help center is specific that it tracks titles, names and durations, not the detailed content inside documents, messages or web pages. App and URL tracking is capped on the free Starter plan and unlimited on paid plans, according to the pricing page.

Apploye's FAQ also distinguishes monitored from unmonitored tracking. In unmonitored tracking, only total time against a project or task is captured. In monitored tracking, app usage, URL visits, and keyboard and mouse activity level are included. Ask which one you are on.

How does idle time work?

Idle time is detected when there is no mouse or keyboard activity for a period the workspace sets. The help center gives only "a few minutes" as an example, not a fixed number, and the basic idle detection on the free plan has no custom setup, per the pricing page.

With the "Ask Member" option, a pop-up appears when you return. You can keep the time as idle, which leaves it marked in your timesheet where an approver can delete or reject it, or delete the idle time so it isn't recorded. The pricing page also lists unusual activity detection on the Power plan. Apploye's pages we reviewed do not explain how that detection works.

What does Apploye not capture?

  • Keystroke content. The FAQ says Apploye just counts keystrokes for the activity calculation, and the help center says it never records what you type.
  • Webcam or microphone. Listed as not tracked.
  • The content of emails, chats or documents.
  • Anything while the timer is stopped.

One note on wording. Apploye's marketing blog uses looser language, such as saying it "tracks keystrokes" and can record the screen live. The help center is the more precise source, and the live and video features correspond to the plan-based options above. If you want certainty, ask your admin which are active.

The pricing page also lists a "Stealth Mode" add-on. The pages we reviewed don't explain what it changes, so if you are unsure what is running on your machine, ask directly.

What it sees versus what it understands

Apploye sees the timer, input counts, window names and screen snapshots. It doesn't see the work itself. A client call, a long document review or an hour of planning registers as low activity, and the software has no way to know otherwise. If your real work keeps landing in the invisible column, that's the problem LazyWork was built for.

How can I check what my manager sees?

Apploye's help center says you can see what is monitored by clicking your profile icon in the desktop app. In the web app, its sections include Timesheets, Activity, Screenshots, and Apps and URLs. You can also add optional work notes, which are viewable from the profile picture in the desktop app and are meant for explaining things like low activity.

It is worth looking once. Check a normal day and compare it to how you remember it.

What is reasonable to raise with a manager?

  • Which plan and features are active: screenshots, apps and URLs, idle detection.
  • What the idle limit is, and how meetings and calls should be logged.
  • Whether low activity in reading or meeting-heavy roles is judged against a role-appropriate baseline.
  • Whether you can add notes to explain a quiet stretch.
  • Who can see your screenshots and whether you may delete them.

Frequently asked questions

What is the Apploye time tracker download?

It is the desktop app, available from Apploye's website after your employer invites you. Check with your admin before installing it on a personal device.
